When a customer has a problem, a calm and clear response helps. In this workshop, you will learn and practice four short Chinese phrases for handling complaints. You will hear each phrase, understand its meaning, and then use it in simple guided conversations. The recordings give you natural examples. You can play both roles: the staff member and the customer. This practice builds your confidence for real situations.

Key Phrases for Responding to Complaints

Start by listening to four useful phrases. Each one has a clear purpose. First, to apologize, say «对不起,让您不满意了。». This means you feel sorry that the person is not satisfied. Second, to show you understand, say «我明白您的意思。». This tells the customer you grasp their point. Third, to ask for details, say «请告诉我具体发生了什么。». This invites the customer to explain what went wrong. Fourth, to offer a solution, say «我们马上帮您解决。». This promises immediate help. Listen to each recording and repeat aloud. Notice the polite tone. These phrases are short and easy to remember.

A Full Example: Coffee Order Mix-Up

Now hear how the phrases work together. In this scene, a customer has a problem with a drink. The staff member begins with an apology and a question: «对不起,让您不满意了。请问具体是什么问题?». The customer explains: «我点的咖啡是热的,但我要的是冰的。». The staff member responds with understanding and a solution: «我明白您的意思。我们马上给您换一杯冰的,您看可以吗?». The customer accepts: «好的,谢谢。». Notice the order: apologize, ask, listen, offer, confirm. The staff member stays calm and helpful. You can play both roles. First, listen to the whole scene. Then, try repeating each line after the recording. Pay attention to the polite question at the end of «我明白您的意思。我们马上给您换一杯冰的,您看可以吗?».

    Choosing the Right Response

Different moments need different phrases. If a customer seems upset, start with an apology like «对不起,让您不满意了。». If they are explaining, show you follow with «我明白您的意思。». If you need more information, ask «请告诉我具体发生了什么。». If you already know the problem, offer help with «我们马上帮您解决。». In the coffee scene, the staff member combines apology and question in «对不起,让您不满意了。请问具体是什么问题?». After hearing the problem, the staff member uses understanding and a solution in «我明白您的意思。我们马上给您换一杯冰的,您看可以吗?». Practice matching each phrase to the right moment. This helps you respond naturally without freezing.

    Hear the phrases in context

Listen once, then say the phrase yourself. Slow playback keeps the original pitch.

Say it before you study it

    Your turn

Try each prompt out loud. Choose a guided start, the full sequence, or a challenge pass after your first attempt.

    1

    Guided Exchange: Apologize and Ask

Imagine you are a staff member. A customer looks unhappy. You want to apologize and ask what happened.

Your task: Listen to «对不起,让您不满意了。请问具体是什么问题?» and repeat it aloud. Then, play the customer role and say «我点的咖啡是热的,但我要的是冰的。». Finally, switch back to staff and say «我明白您的意思。我们马上给您换一杯冰的,您看可以吗?». Do this three times, trying to sound calm and polite.

    2

Reply Comprehension: Choose the Best Line

You hear a customer say «我点的咖啡是热的,但我要的是冰的。». You need to respond. You can choose between two recorded replies: «我明白您的意思。我们马上给您换一杯冰的,您看可以吗?» or «好的,谢谢。».

Your task: Listen to both «我明白您的意思。我们马上给您换一杯冰的,您看可以吗?» and «好的,谢谢。». Decide which one is the staff member's reply to the customer's complaint. Then say your chosen line aloud. After that, say the other line aloud as the customer's acceptance.

    3

    Recall and Role-Play: Full Scene

Now try to remember the whole coffee scene without looking at the lines. You will play both the staff member and the customer.

Your task: First, as staff, say the line that apologizes and asks for details. Then, as customer, say the line about the coffee. Next, as staff, say the line that understands and offers a change. Finally, as customer, say the line that accepts. Use the recordings «对不起,让您不满意了。请问具体是什么问题?», «我点的咖啡是热的,但我要的是冰的。», «我明白您的意思。我们马上给您换一杯冰的,您看可以吗?», and «好的,谢谢。» to check yourself after you try.
