This lesson teaches you key phrases and patterns to respond to complaints without sounding defensive. You will practice apologizing, asking for details, and proposing fixes. The focus is on spoken interaction, using simplified Chinese and pinyin with tone marks. By the end, you will be able to handle common complaints in service, workplace, or everyday settings with greater confidence and cultural appropriateness.

对不起,让您不满意了。
I'm sorry that you're not satisfied.
Duìbuqǐ, ràng nín bù mǎnyì le.
Use '您' (nín) to show respect, especially with customers or elders. This phrase acknowledges the other person's feelings without admitting fault.
我明白您的意思。
I understand what you mean.
Wǒ míngbai nín de yìsi.
A calm way to show empathy. It does not mean you agree, but it signals you are listening.
请告诉我具体发生了什么。
Please tell me exactly what happened.
Qǐng gàosu wǒ jùtǐ fāshēng le shénme.
Use this to get details without sounding accusatory. '具体' (jùtǐ) means 'specific' or 'concrete'.
我们马上帮您解决。
We'll help you solve it right away.
Wǒmen mǎshàng bāng nín jiějué.
A proactive response that shows willingness to act. '马上' (mǎshàng) means 'immediately'.
您看这样处理可以吗?
Would this solution be acceptable to you?
Nín kàn zhèyàng chǔlǐ kěyǐ ma?
A polite way to propose a solution and seek agreement. '处理' (chǔlǐ) means 'handle' or 'deal with'.
Pronunciation guides are approximate. Slow playback keeps the original pitch.
Make it make sense
Useful pattern
A common pattern for responding to complaints is: 对不起,让您……了 (Duìbuqǐ, ràng nín……le). This expresses apology for causing a certain feeling. For example, 对不起,让您久等了 (Duìbuqǐ, ràng nín jiǔ děng le) means 'Sorry to have kept you waiting.' You can also use 我明白您的…… (Wǒ míngbai nín de……) to show understanding, as in 我明白您的担心 (Wǒ míngbai nín de dānxīn) 'I understand your concern.' These patterns keep the tone calm and respectful.
When to use it
Use these responses when someone expresses dissatisfaction, whether in a restaurant, shop, or office. For instance, if a customer says 这个菜太咸了 (Zhège cài tài xián le) 'This dish is too salty,' you can reply 对不起,我马上给您换一份 (Duìbuqǐ, wǒ mǎshàng gěi nín huàn yī fèn) 'Sorry, I'll change it for you right away.' In a workplace, if a colleague complains 报告交得太晚了 (Bàogào jiāo de tài wǎn le) 'The report was submitted too late,' you might say 我明白,我会尽快处理 (Wǒ míngbai, wǒ huì jǐnkuài chǔlǐ) 'I understand, I'll handle it as soon as possible.' Always maintain a calm tone and avoid blaming the other person.
Listen to each line, then take one part and reply out loud.
对不起,让您不满意了。请问具体是什么问题?
I'm sorry you're not satisfied. May I ask what exactly the problem is?Duìbuqǐ, ràng nín bù mǎnyì le. Qǐngwèn jùtǐ shì shénme wèntí?我点的咖啡是热的,但我要的是冰的。
The coffee I ordered is hot, but I wanted iced.Wǒ diǎn de kāfēi shì rè de, dàn wǒ yào de shì bīng de.我明白您的意思。我们马上给您换一杯冰的,您看可以吗?
I understand. We'll change it to an iced one right away, would that be okay?Wǒ míngbai nín de yìsi. Wǒmen mǎshàng gěi nín huàn yī bēi bīng de, nín kàn kěyǐ ma?好的,谢谢。
Okay, thank you.Hǎo de, xièxie.A little context goes a long way
In Mandarin-speaking contexts, showing respect through language is important, especially with customers or superiors. Using 您 (nín) instead of 你 (nǐ) and softening requests with 请 (qǐng) can help maintain a calm atmosphere. Directly blaming the other person or raising your voice is generally considered unprofessional. A calm, solution-oriented approach is valued.
One thing to watch for
Responding with 这不是我的错 (Zhè bù shì wǒ de cuò) 'This is not my fault' immediately.
Try this instead: This can sound defensive. Instead, acknowledge the issue first: 对不起,让您遇到这个问题 (Duìbuqǐ, ràng nín yùdào zhège wèntí) 'Sorry you encountered this problem.' Then offer a solution.
