Sometimes a coworker asks you to take on a new task, but you are already too busy. In this workshop you will practice polite Japanese ways to say no without sounding rude. You will listen to short recorded lines, learn what each one means in English, and then use them in three speaking tasks. The recordings are playable and include a request, a refusal, an understanding reply, and a closing. You can use the answer keys to compare your speaking.

    Understanding the Refusal Phrases

Start by listening to each recorded line and reading the English meaning. «申し訳ありませんが、今はその話をいただく余裕がありません。» is a polite apology followed by a reason: you do not have the capacity to take on that task now. «今は手が離せないので、新しく引き受けるのは難しいです。» explains that you cannot take on anything new because you are tied up. «せっかくのお話ですが、今の状況ではお引き受けできかねます。» shows appreciation for the offer, then says that in your current situation you are unable to accept. «今は自分のことで精一杯で、それどころではありません。» describes doing your best with your own things and not being able to take on anything else. Most of these lines soften the refusal with an apology, a reason, or thanks; the last one focuses on being at your limit. Notice that the reason can come before or after the apology or thanks, and this placement helps the refusal sound gentler in Japanese.

    Following the Recorded Exchange

Now listen to a short exchange. Speaker A asks «来月のプロジェクト、リーダーをやってくれない?». Speaker B replies with «申し訳ありませんが、今は手が離せないので、新しく引き受けるのは難しいです。», which repeats the idea that they cannot take on anything new because they are tied up. Speaker A responds with «そうか、今は大変なんだね。わかった。», showing understanding that B is having a hard time. Speaker B then adds «また落ち着いたらお声がけいただけると嬉しいです。», a wish that A could ask again once things settle down. This exchange shows a full polite refusal: a request, a refusal with a reason, an understanding reply, and a hopeful closing. When you practice, keep the roles clear. A is the person asking for help. B is the person declining. The page uses the recorded lines and does not add new native phrases.

Using the Lines in Your Own Speaking

You can use these recorded lines in many simple work situations. Imagine a coworker asks you to join a new project. You can choose one refusal line, such as «申し訳ありませんが、今はその話をいただく余裕がありません。» or «せっかくのお話ですが、今の状況ではお引き受けできかねます。», and say it clearly and calmly. If the other person understands, you can close with «また落ち着いたらお声がけいただけると嬉しいです。». If you are the person asking, you can use «来月のプロジェクト、リーダーをやってくれない?» and then reply with «そうか、今は大変なんだね。わかった。» when you hear a refusal. Speak slowly and keep a soft tone. A polite refusal in Japanese often includes an apology or thanks, a reason, and sometimes a wish for a future chance. Do not add new native phrases that are not in the recordings. Practice each line until you can say it without reading.

    Hear the phrases in context

Listen once, then say the phrase yourself. Slow playback keeps the original pitch.

    Try a short roleplay

Read one side aloud, then answer in your own words. The goal is to make the exchange yours.

    A

    来月のプロジェクト、リーダーをやってくれない?

Would you lead next month's project?
    B

    申し訳ありませんが、今は手が離せないので、新しく引き受けるのは難しいです。

I'm sorry, but I can't take on anything new right now because I'm tied up.
    A

    そうか、今は大変なんだね。わかった。

I see, you're having a hard time now. Understood.
    B

    また落ち着いたらお声がけいただけると嬉しいです。

I'd be happy if you could ask me again once things settle down.

    Your turn

Try each prompt out loud. Choose a guided start, the full sequence, or a challenge pass after your first attempt.

    1

    Guided Exchange: Decline a Request

You are B. A coworker asks you to lead next month's project. You are too busy and want to decline politely.

Your task: Listen to «来月のプロジェクト、リーダーをやってくれない?» as the request. Then say a polite refusal using one of the recorded lines: «申し訳ありませんが、今はその話をいただく余裕がありません。», «今は手が離せないので、新しく引き受けるのは難しいです。», «せっかくのお話ですが、今の状況ではお引き受けできかねます。», or «今は自分のことで精一杯で、それどころではありません。». After you speak, play the role of A and respond with «そうか、今は大変なんだね。わかった。». Finally, close with «また落ち着いたらお声がけいただけると嬉しいです。» as B.

    2

Reply Comprehension: Choose the Right Response

You are A. You asked B to lead next month's project using «来月のプロジェクト、リーダーをやってくれない?». B replies with «申し訳ありませんが、今は手が離せないので、新しく引き受けるのは難しいです。».

Your task: Listen to «申し訳ありませんが、今は手が離せないので、新しく引き受けるのは難しいです。» and decide which recorded reply fits best: «そうか、今は大変なんだね。わかった。» or «また落ち着いたらお声がけいただけると嬉しいです。». Say your chosen line aloud as A. Then check the answer key below.

    3

Recall and Role Swap: Say the Whole Exchange

You will now recall the recorded exchange from memory. First you are B, then you are A.

Your task: As B, listen to «来月のプロジェクト、リーダーをやってくれない?» and respond with «申し訳ありませんが、今は手が離せないので、新しく引き受けるのは難しいです。». As A, respond to «申し訳ありませんが、今は手が離せないので、新しく引き受けるのは難しいです。» with «そうか、今は大変なんだね。わかった。». Then as B, close with «また落ち着いたらお声がけいただけると嬉しいです。». After one full round, swap roles: you say «来月のプロジェクト、リーダーをやってくれない?» as A, then imagine B's reply «申し訳ありませんが、今は手が離せないので、新しく引き受けるのは難しいです。», then say «そうか、今は大変なんだね。わかった。» as A, and finally «また落ち着いたらお声がけいただけると嬉しいです。» as B.

    Common questions

Do I need to memorize every refusal line?

No. Start with one or two lines that feel comfortable, such as «申し訳ありませんが、今はその話をいただく余裕がありません。» or «せっかくのお話ですが、今の状況ではお引き受けできかねます。». Practice them until you can say them smoothly. Then add another line when you are ready. The goal is to have a polite refusal ready when you need it.

Can I use these lines with my boss?

These recorded lines are polite and include an apology or thanks, so they can work in many workplace situations. However, every workplace is different. Listen to how your coworkers speak and adjust your tone. The recordings give you a safe starting point, but you can also ask a trusted speaker for advice.
