Includes practice questions and sample answers.

When a service you paid for is cancelled, you need clear Japanese to request your money back without sounding rude or overly aggressive. This lesson focuses on the exact phrases for asking 'Can I get a refund?', checking refund policies, and explaining your situation at a counter or on the phone. You will practice polite forms that work in shops, hotels, and online service calls. The goal is not fluency, but the ability to handle a refund request step by step, understand key policy terms, and respond appropriately if the staff asks for details.

    By the end, you can…

    • ask whether a refund is possible for a cancelled service.
    • understand and respond to common refund policy terms in Japanese.
    • explain my situation and provide basic details for a refund request.

    Words you’ll actually use

Listen once. Try it slowly. Then say it without looking.

    Checking available voices…

    Can I get a refund?

    Henkin shite itadakemasu ka.

Polite and standard. Use at a counter or on the phone when you want the staff to process a refund. The te-form + itadakemasu ka is a respectful request.

Because it was cancelled, I would like to request a refund.

Kyanseru ni natta node, henkin o onegai shitai no desu ga.

Explains the reason first, then states your request. The final ga softens the request and invites a response.

    Is a refund possible?

    Henkin wa kanō desu ka.

A direct but polite yes/no question. Good for confirming policy before giving details.

Could you tell me the refund conditions?

Henkin no jōken o oshiete itadakemasu ka.

Use when you need to know the rules, such as deadlines or fees. Oshiete itadakemasu ka is a polite way to ask for information.

    Is a receipt necessary?

    Ryōshūsho wa hitsuyō desu ka.

Ask this if you are unsure what documents are required. Many places ask for a receipt or proof of payment.

Pronunciation guides are approximate. Slow playback keeps the original pitch.

    Make it make sense

    Useful pattern

The core pattern for requesting a refund is: 返金 (henkin) + していただけますか (shite itadakemasu ka). This means 'Could you please do a refund?' It is polite and safe for service counters. You can also use 返金をお願いします (henkin o onegai shimasu) for a slightly simpler request. To explain why, put the reason before the request: サービスがキャンセルになったので、返金していただけますか (Sābisu ga kyanseru ni natta node, henkin shite itadakemasu ka). The particle ので (node) gives a soft reason, and the final request stays polite. If you want to ask about possibility, use 返金は可能ですか (Henkin wa kanō desu ka). (Henkin no jōken o oshiete kudasai).

    When to use it

Use these phrases when a service you paid for is cancelled by the provider, or when you cancel within the allowed period. At a hotel, say On the phone for an online service, start with (Sumimasen, henkin ni tsuite okiki shitai no desu ga). If the staff says (Henkin ni wa tesūryō ga kakarimasu – 'A fee is charged for refunds'), you can ask 手数料はいくらですか (Tesūryō wa ikura desu ka). Always confirm the refund method: 返金はどのように行われますか (Henkin wa dono yō ni okonawaremasu ka).

    A conversation you could have

Listen to each line, then take one part and reply out loud.

    A

Excuse me, the tour I applied for last week was cancelled. Can I get a refund?Sumimasen, senshū mōshikonda tsuaa ga kyanseru ni natta no desu ga, henkin shite itadakemasu ka.
    B

Certainly. A refund is possible, but do you have your receipt?Kashikomarimashita. Henkin wa kanō desu ga, ryōshūsho wa omochi desu ka.
    A

Yes, here it is. Could you tell me the refund conditions?Hai, kochira desu. Henkin no jōken o oshiete itadakemasu ka.
    B

The refund will be transferred to your bank account within one week. No fee is charged.

A little context goes a long way

In Japan, refund requests are usually handled politely and indirectly. Raising your voice or demanding a refund can be seen as rude. Start with すみません (sumimasen) and use お願いします (onegai shimasu) or いただけますか (itadakemasu ka). Many businesses have clear refund policies, so asking about conditions first shows respect and often speeds up the process. Keep your tone calm and patient, even if the answer is not what you hoped for.

    One thing to watch for

(Henkin shite kudasai) as a direct demand.

Try this instead: While grammatically correct, 返金してください can sound like an order. In service situations, prefer 返金していただけますか (Henkin shite itadakemasu ka) or 返金をお願いします (Henkin o onegai shimasu). (Kyanseru ni natta node, henkin shite itadakemasu ka) to sound polite and cooperative.

    Your turn

Try answering out loud before checking a possible answer.

1How do you politely ask 'Can I get a refund?' at a service counter?

    Show a sample answer

This uses the te-form + itadakemasu ka, a respectful request pattern. 返金をお願いします is also acceptable but slightly less formal.

2What phrase asks 'Is a receipt necessary?'

    Show a sample answer

This directly asks if a receipt is required. You could also say (Ryōshūsho wa irimasu ka), which is more casual.

3How do you ask about refund conditions?

    Show a sample answer

This politely requests information about the conditions. (Henkin no jōken wa nan desu ka) is a more direct alternative.

    Take this with you

Use 返金していただけますか to ask for a refund politely, explain the cancellation with ので, and always check the conditions and required documents before ending the conversation.
