Chinese Phone Etiquette: How to Call Someone Politely in Mandarin

Learn to make phone calls in Mandarin: greet, introduce yourself, state your purpose, and ask for the right person. Includes 给…打电话 vs. 叫 and a sample call.

Includes practice questions and sample answers.
A quiet illustrated scene for evening language practice

Making a phone call in Chinese is less about translating English sentences word-for-word and more about following a predictable polite sequence: greet, identify yourself, state your purpose, then ask for the person or department you need. This lesson focuses on initiating calls. You will learn the core pattern 给某人打电话 (gěi mǒu rén dǎ diànhuà) for calling someone by phone, and you will also learn why 叫 (jiào) is not the right verb for making a call. By the end, you will be able to open a call naturally, say who you are, explain why you are calling, and ask staff to connect you, all in intermediate-level Mandarin.

    By the end, you can…

    • open a phone call in Mandarin with a greeting and a self-introduction.
    • state the purpose of my call and ask to speak to a specific person or department.

    Words you’ll actually use

Listen once. Try it slowly. Then say it without looking.

    Checking available voices…

    Hello, this is Wang Ming.

Nín hǎo, wǒ shì Wáng Míng.

Standard polite opening when the other person answers. Use 您 for respectful 'you' with strangers or staff.

Excuse me, is Manager Li there?

    Qǐngwèn Lǐ jīnglǐ zài ma?

Use 请问 to soften a request. 在吗 asks whether the person is available, not whether they exist.

I'm calling to ask about tomorrow's meeting.

Wǒ dǎ diànhuà shì xiǎng wèn yíxià míngtiān de huìyì.

A clear purpose statement. Replace the final clause with your own reason: 想确认一下…, 想咨询一下…

    麻烦您帮我转接一下,好吗?

    Could you please transfer me?

Máfan nín bāng wǒ zhuǎnjiē yíxià, hǎo ma?

Polite request to be connected. 麻烦您 softens the request; 一下 makes it sound lighter.

Okay, thank you. I'll call again later.

Hǎo de, xièxie nín, wǒ shāohòu zài dǎ.

Use when the person is unavailable. 稍后 means 'a little later' and is more formal than 一会儿.

Pronunciation guides are approximate. Slow playback keeps the original pitch.

    Make it make sense

    Useful pattern

The key pattern for 'call someone by phone' is (Wǒ gěi Lǐ jīnglǐ dǎ diànhuà. 'I'm calling Manager Li.') If you want to say what you are calling about, add (Wǒ gěi nín dǎ diànhuà shì xiǎng quèrèn yíxià shíjiān. 'I'm calling you to confirm the time.') Do not use 叫 for making a phone call. 叫 means 'to call someone a name' or 'to call out to someone': 他叫王明。 (Tā jiào Wáng Míng. 'He is called Wang Ming.') (Wǒ jiào tā guòlái. 'I called him over.') For phone calls, use 打电话 or 给…

    When to use it

Use the full polite opening 您好,我是… when calling someone you do not know well, or when calling an office, hotel, or company. If you are calling a close friend, a shorter opening is fine: 喂,是我。 (Wèi, shì wǒ. 'Hey, it's me.') When you need a specific person, ask 请问…在吗? before stating your purpose. If the person is not available, say rather than hanging up abruptly. When asking staff to connect you, use This is polite and clear. Avoid demanding 给我转接 without a softener; it can sound abrupt.

    A conversation you could have

Listen to each line, then take one part and reply out loud.

    A

Hello, this is Wang Ming. Is Manager Li there?Nín hǎo, wǒ shì Wáng Míng. Qǐngwèn Lǐ jīnglǐ zài ma?
    B

Hello, Mr Wang. Manager Li is here. What can I help you with?Nín hǎo, Wáng xiānsheng. Lǐ jīnglǐ zài. Nín yǒu shénme shì ma?
    A

I'm calling to ask about tomorrow's meeting time. Could you please transfer me?Wǒ dǎ diànhuà shì xiǎng wèn yíxià míngtiān de huìyì shíjiān. Máfan nín bāng wǒ zhuǎnjiē yíxià, hǎo ma?
    B

Okay, I'll transfer you to his extension. Please hold.Hǎo de, wǒ bāng nín zhuǎnjiē dào tā de fēnjī. Qǐng shāoděng.

A little context goes a long way

In Chinese phone calls, identifying yourself early is expected, especially in professional settings. Using 您 instead of 你 signals respect and is common with staff, elders, and unfamiliar people. 请问 softens questions and is safer than a direct question. If you are calling a company, the person who answers may not be the person you need; asking for a transfer with 麻烦您…好吗? is standard polite phrasing. Avoid assuming the person you are calling knows your voice; state your name unless you are very close.

    One thing to watch for

Using 叫 to mean 'call someone by phone': 我叫李经理。

Try this instead: Use 给… (Wǒ gěi Lǐ jīnglǐ dǎ diànhuà. 'I'm calling Manager Li.') 叫 means 'to be called' or 'to call out to someone': 他叫李经理。 (Tā jiào Lǐ jīnglǐ. 'He is called Manager Li.')

    Your turn

Try answering out loud before checking a possible answer.

1How would you say 'I'm calling to ask about tomorrow's meeting' in Mandarin?

    Show a sample answer

This uses 打电话是想… to state purpose. You could also say 我打电话来问一下明天的会议, which is also correct.

2Which is correct for 'I'm calling Manager Li': 我叫李经理 or 我给李经理打电话?

    Show a sample answer

打电话 is the standard pattern for making a phone call. 我叫李经理 would mean 'I call Manager Li' in the sense of naming or summoning, not phoning.

3How do you politely ask to be transferred to someone?

    Show a sample answer

This is polite and clear. 麻烦您 softens the request, and 好吗? invites agreement. A direct 给我转接 is possible but can sound abrupt.

    Take this with you

For polite phone calls in Mandarin, open with 您好,我是…, ask 请问…在吗?, state your purpose with 我打电话是想…, and request a transfer with 麻烦您帮我转接一下,好吗? Remember: 给…打电话 for phoning, not 叫.
